Compliance & Transparency

Important information about how we operate, protect personal information, and meet our regulatory and professional obligations.

Compliance Information

The information below outlines how we manage personal information, our obligations to clients, and the professional standards we adhere to.

Compliance & Information Handling

We collect personal and business information that is necessary for us to provide and manage your insurance needs. This may include your name, contact details, financial information, business details, and insurance history. In some cases, we may also need to collect sensitive information (such as health records or criminal history) where it is directly relevant to the cover being arranged.

We use this information to:

  • understand your needs and provide tailored insurance advice,
  • obtain quotes and negotiate with insurers,

  • arrange, maintain and renew your insurance policies,

  • manage and assist with claims, and

  • meet our legal, regulatory, and compliance obligations.

When assisting with a claim, we may collect information from you and from third parties (such as investigators, loss adjusters, medical advisers, or lawyers). This information is provided to your insurer and may also be shared with underwriters and reinsurers. We only collect what is necessary to deliver our services effectively and responsibly, and may use the information internally to improve the services we provide and to help resolve any issues.

We can only apply for and arrange financial services when we have all the relevant information from you. Insurance law requires clients to disclose all details that may affect an insurer’s decision to provide cover and the terms they offer.

In some cases, credit providers may also request specific information to assess any credit applications we facilitate on your behalf. Supplying full and accurate information helps us act in your best interests and ensures your policies are valid and effective.

We hold the information we collect from you in our computer system and in our hard copy files. We ensure that your information is safe by following the usual security procedures expected by our clients.

We may share your information with third parties where necessary to arrange, manage, or claim on your insurance. This can include:

  • Insurers, underwriters, brokers, and reinsurers – to obtain cover, assess risks, or recover costs.

  • Premium funders or credit providers – to quote and arrange premium funding or financial products.

  • Claims specialists such as investigators, assessors, medical practitioners, and legal advisers – to assess or defend claims.

  • Service providers and contractors who assist us with business operations (e.g. IT, mailing, or compliance).

  • Immediate family members (with your consent), or relevant parties in the event of a corporate sale, merger, or restructure.

We always take steps to ensure that your information is handled securely and in line with privacy requirements. We may also disclose information if required by law. Importantly, we do not sell, trade, or rent personal information to others.

If you’d like to access the personal information we hold, please send us a written request with enough detail for us to locate your records. We will provide access and, where necessary, correct, update, or delete any information that is inaccurate.

There is no charge for making a request. However, if significant costs are involved in retrieving and supplying the information, we may recover reasonable expenses.

All requests should be directed in writing to our Privacy Officer at our office.

By engaging us to provide financial services, you consent to the collection and use of your personal information for the purposes outlined in this policy.

Privacy Information, Access & Disputes - If you would like to access the information we hold about you, or if you have any concerns about how your information is handled, please contact our Privacy Officer on (03) 9349 2733.
